Every job produces a story. It tells what the technician found, what they did, and what needs to happen next. But too often, that story gets lost. It’s typed one-handed in a truck, compressed into “fixed it,” or written up hours later, reconstructed from memory. The work may have been done right, but the record doesn’t support it.
This is what our new AI Text Transformation and Rich Text Formatting features are built for: closing the gap between a job done right and documentation that demonstrates it.
AI that turns rough notes into a polished record, with one tap
For Elite tier customers, AI Text Transformation takes a technician’s rough field notes and turns them into clear, structured documentation, instantly, without leaving the form.
Here’s how it works:
- A technician captures notes the way they normally would — quick, fragmented, under time pressure. No new habits to learn.
- They tap the ✦ AI button. The system processes those notes using a prompt your administrators configured around your equipment, your workflows, and your documentation standards.
- They review the result. Nothing is committed automatically. The technician reads the enhanced version, edits it if needed, and explicitly approves it before it becomes part of the record.
That last step matters more than it might seem. AI Text Transformation is built to assist frontliners without replacing their expert judgment. The technician stays in control of what they put their name to, enabling output that is trustworthy enough for a customer, an auditor, or a supervisor to rely on.
Why now. AI-assisted documentation is the fastest-moving capability in field service right now, and every major FSM platform is racing to add it. The difference is where it happens. Most of these tools generate summaries after the fact, at the back office, from data that’s already been captured. AI Text Transformation works at the moment of capture: inside the form, on the device, before the job is even closed out. The intelligence originates where the work happens instead of being patched together downstream.
The result is documentation that reads the same whether it’s written by your most experienced technician or someone on their first week. There are fewer disputes because the record actually reflects what happened. Your team goes on repeat visits to clarify what was unclear the first time. There’s less time spent on a mobile device and higher hands-on-tool time.
Built on a foundation every customer already has: Rich Text Formatting
AI Text Transformation only works because of what sits underneath it, Rich Text Formatting, which is now available to every TrueContext customer at no additional cost.
Rich Text Formatting brings a familiar formatting toolbar directly into Text Area questions: bold, italic, headings, bullet lists, numbered lists. Technicians format their observations the way they already know how, even offline. No markdown to learn or syntax to expose. What they see is what ends up in the generated report.
This is also what makes the AI output usable. AI models write in markdown by default. Without a rendering layer built for it, that markdown shows up as raw asterisks and pound signs instead of actual formatting. Rich Text Formatting is what turns AI-enhanced notes into a document that looks the way it’s supposed to, on the device and in every generated summary. It’s the same reason this pairing isn’t something competitors can bolt on easily: the formatting and the AI enhancement are built into the same layer, together.
What this looks like day to day
- A technician finishes a repair, types three lines of shorthand, taps AI, reviews a structured summary with clear headings for observations and next steps, and approves it before moving to the next job.
- An operations manager stops seeing documentation quality swing wildly between veteran technicians and new hires. Every submission meets the same bar, because the standard is built into the prompt, not left to individual writing skill.
- A customer gets a service record that actually explains what happened, formatted clearly, instead of a wall of unformatted text.
Available now
Rich Text Formatting is live for all TrueContext customers, on every platform, fully offline. AI Text Transformation is available on the Elite tier; administrators can configure prompts and context for the Text Area questions where it matters most.
